What is ORCID?

ORCID (Open Researcher and Contributor ID) provides a unique researcher identifier that makes it easier to identify your publications. An ORCID iD enables you to hold a record of all your research activities, variants of your name, affiliations, etc. Your name will never be mixed up again with your colleagues’ names and you can ensure you always get the credit you deserve for your research output. You can also use it for manuscript submissions to most of the major publishers.

Why do I need an ORCID iD when I already have an INSPIRE ID?

Your INSPIRE ID also serves as a unique researcher identifier to distinguish you from other authors, but it is specific to INSPIRE. If you grant the permission, ORCID supports synchronization of the content with other publishers and services such as Scopus, Nature and APS. Using ORCID enables you to import and export your publication list independently of the backend used by each platform, connecting your research globally, both within and outside the scope of high energy physics.

In the near future, ORCID IDs will be used to login to personal INSPIRE services, and are already required by our HEP Additions feature.

Creating an ORCID iD

You can register for an ORCID account here in less than 30 seconds. After registering you can manage all your information on your personal record page. You can add as many details as you want and set the level of privacy you desire for the information you enter (public, limited, or private). This is up to you whether you want to give your profile more visibility or not.

The default setting when you set up your ORCID is Private, meaning your account contents are only visible to you, and outside services (like INSPIRE) cannot update publication data. To allow ORCID and INSPIRE to share information between the two platforms, you must mark your publication list as publically accessible in your ORCID account by using the toggles that look like the image below. This will automatically send the changes you make to your INSPIRE publication list to ORCID. Please note that only claimed papers will be pushed to ORCID.

Connecting your ORCID iD to your INSPIRE author profile

The following instructions will take you step by step through the process of connecting your ORCID account with your INSPIRE author profile and importing/exporting publications between the two services.

Cleaning your INSPIRE Profile

Before you can export your publications to ORCID, you must clean up and prepare your INSPIRE author profile. The most expedient way to do this is to obtain an arXiv ID and login to INSPIRE using this arXiv ID. If you don’t use an arXiv ID, you can make changes to your profile as a guest, but all actions will require approval from the INSPIRE team, which may take a few days depending on how many requests are before yours. If you don’t mind waiting, you can follow the instructions below without signing in with an arXiv ID and still prepare your author profile for an ORCID connection. Please be aware that this approval process is necessary to ensure the quality of the information we have in INSPIRE.

  1. If you don’t already have an arXiv ID, you can sign up for one here.
  2. Locate your INSPIRE author profile(s) using Person search:
  3. Go to the ‘Manage publications’ tab in your author profile.
  4. Your papers might be spread across multiple profiles or mixed in with someone else’s papers. If this is the case, here are some guidelines for combining and separating profiles:
    1. Find which profile contains most of your papers.
    2. If the profile is dominated by someone else’s papers, use the ‘Manage publications’ tab to move your papers out of the profile instead of theirs.
    3. If there’s a profile that has just your papers in it, move the rest of your papers to that one.
    4. If no profile contains just your papers, create a new profile. Do this by selecting your papers in clicking ‘Assign to another person’, and then click ‘Create a new person’.
    5. Merge profiles if yours are the only papers in them. The merging function can be found in the ‘Manage profile’ tab.
  5. Once you have the correct profile, go to the ‘Manage profile’ tab and click ‘Choose your profile’ to connect it to your arXiv ID.
  6. When prompted on your INSPIRE profile, login through the arXiv.
  7. Claim your papers in ‘Manage publications’.

Connecting your INSPIRE account to ORCID

Once your INSPIRE author profile is cleaned up and all your papers have been claimed, you are ready to connect to ORCID and export your papers.

  1. In the ‘Manage profile’ tab, click ‘Connect an ORCID to this profile’. This will take you to a page where you can create an ORCID account or sign in to an existing one.
  2. If you are logged in with your arXiv ID, this connection should appear momentarily. If you are not logged in, you will have to wait for INSPIRE approval.
  3. Once this connection has been established, a link to your ORCID account should be visible in your INSPIRE author profile under ‘Manage profile’. Under this link there are two buttons to push your papers to and import them from ORCID. After clicking the ‘Push’ button, a message will display on your profile indicating that the export is being processed. Within a few minutes, try refreshing your profile until you see a success message.
  4. Click on the blue ORCID iD link to see your list of papers in ORCID!
